Formal Project Closure:
Obtaining Sign-Off - The formal sign-off documents that customer accepts the project work and that the project meets the defined requirements.
Release Resources - resources are no longer needed.
Provide Historical Information for Future Projects - helps decide what projects are right for future of company.
Close Procurement - the process of completing and settling the terms of the contract and documenting acceptance.
Post-Project Review - conducted at the conclusion of the project; it collects and documents lessons learned, it assesses the good and the not-so-good aspects of the project.
Closure Steps:
Phase closure - Occurs at the end of each project phase and involves:
- Obtaining formal sign-off and acceptance of the project
- Transferring the results of the project to operations and maintenance
- Releasing project resources
- Closing out contracts
- Performing administrative closure
- Documenting historical information for future projects
- Conducting a post-mortem
- Conducting a post-project review and capturing lessons learned
- Preparing the project close report
Project Completion: - Ways projects end:
- Addition - Projects that become their own ongoing business unit.
- Starvation - When other projects come and take precedence over the current project, cutting funding or resources; the customer curtails an order; the project budget is reduced; or a key resource quits.
- Integration - occurs when the resources of the project (people, equipment, property, and supplies) are distributed to other areas in the organization or assigned to other projects.
- Extinction - Means the project has been completed and accepted by the stakeholders.
- Stage Completion - Occurs at the end of each project phase and involves obtaining acceptance and sign-off at the completion of each phase also the transfer that is the official hand-off to the next stage of the project.
- Component Completion - When you break the project down into components; you can not move on the closing process until all components are delivered and completed.
- Project Cancellation - means they are forcing the sponsor and other stakeholders to reassess the original objectives and determine whether the project still makes good business sense or whether it is time for the organization to cut their losses and move on.
Purpose of Closing Documentation:
Lessons learned:
Successes - Helps you determine what went right? Allows you to carry knowledge gained on project Prevents repeating mistakes in the future
Failures - help you assess what went wrong and why? Learn from failure to prevent repeating in the future
Close report: - Recap of the original goals and objectives of the project - Statement of project acceptance or rejection and reasons for rejection - Summary of project costs - Summary of project schedule - Lessons learned and historical data
Post Mortem Analysis - performed for projects that are canceled or end prematurely - examines and documents reasons for early closure and impact - include plan for transferring any completed deliverables to the organization - determine how to treat partially completed deliverables
Final Performance Appraisal - Final reviews of performance; should be performed when team members are release from project
Transition Plan - used for transferring the project results, including describing the type of training or skills needed to maintain and product.
